What you will do 
As a key member of the business support function at the BIS Innovation Hub Toronto Centre (BISIH), you play a critical role in ensuring seamless operations, working closely with the Head of BISIH Toronto and the Director of Enterprise Data Science and Insights at the Bank. This dynamic role supports executive leadership, manages day-to-day office activities, and fosters cross-functional collaboration between BISIH and global BIS offices.

 

Your key responsibilities encompass:

  • Operational Leadership: Oversee all aspects of office management, including facilities, procurement, vendor relations, invoicing, diary management, expense reporting, and financial administration in line with legal agreements.
  • Executive Support: Provide high-level assistance to the Head of BISIH Toronto Centre, anticipating needs, managing schedules, handling confidential communications, and staying several steps ahead to proactively resolve issues.
  • Global Liaison: Serve as the central point of contact between BISIH Toronto and BIS offices worldwide, ensuring smooth coordination and communication across teams and time zones.
  • Strategic Coordination: Build a deep understanding of organizational workflows and maintain strong relationships with BIS administration teams and Bank departments to align on corporate priorities and deliverables.
  • Event & Project Management: Plan and execute internal events, team meetings, and special initiatives—balancing multiple priorities and meeting tight deadlines with efficiency.
  • Financial Oversight: Conduct financial analysis and reporting for BISIH Toronto, contribute to budgeting and process improvements, and ensure operational goals and service standards are met.
  • Team & Culture Champion: Support onboarding, maintain accurate records in compliance with data protection policies, coordinate travel, and embody BISIH values of innovation, collaboration, curiosity, learning, and support in all interactions.

 

 

What you need to succeed

  • Skilled at identifying core problems, gathering relevant data, evaluating alternatives, and delivering actionable recommendations. Prioritizes effectively to address root causes rather than symptoms.
  • Proven ability to build and maintain strong networks with clients, internal teams, and external partners to foster collaboration and achieve shared goals.
  • Exceptional written and verbal communication skills, adept at engaging with leadership, cross-functional teams, and external stakeholders with clarity and professionalism.
  • Confident decision-maker who anticipates opportunities and challenges, proposes innovative solutions, and drives improvements independently.
  • Thrives under tight deadlines and competing demands, consistently delivering high-quality results while managing multiple projects and priorities.
  • Expert in managing workloads and priorities with strong attention to detail, sound judgment, and tactful communication to meet objectives efficiently.

 

Nice-to-have 

  • Familiarity with the Bank’s internal processes and protocols
  • Experience working within the Canadian public sector
  • Experience supporting administration in international or geographically distributed organizations

 

 

Your education and experience

This position requires a college diploma or university degree (e.g., Bachelor of Business Administration/Communications or other relevant discipline) and five years of relevant work experience. An equivalent combination of education and experience may be considered.

Language requirement
The Bank’s work environment is conducive to the use of both of Canada’s official languages - English and French.  The position language requirement is Level 5 (Fully Functional).  If a qualified candidate who meets the language requirement of the position is not found, a qualified candidate who does not meet the language requirement may be considered. Training may be provided to help reach the required level.  Both bilingual and unilingual candidates are encouraged to apply.

    • Salaries are based on qualifications and experience and typically range from $80,967 to $95,255 (job grade 15)
    • The Bank offers an incentive for successfully meeting expectations at  5 to 7% of your base salary. The Bank offers additional performance pay (3%) for those who exceed expectations. Exceptional performers who far exceed expectations may be eligible for higher performance pay.
    • Flexible and comprehensive benefits so you can choose the level of health and dental coverage that meets your needs
    • Extra vacation days (up to five each year) that you can purchase to add to your vacation entitlement
    • Option to join the indexed, defined-benefit pension plan after 24 consecutive months of service
