About the position
As a Facilities Services Representative, you are part of the Client Services Team under the direction of the Team Lead, and report to the Senior Manager of Facilities Performance and Client Services. You carry out all functions related to the Bank’s loading dock for mail and delivery services, office relocations (briefcase moves), and conference and dining room set-ups. You are assigned tasks within the team and rotate through them on a scheduled basis, and as needed to meet operational requirements.

 

Your future responsibilities

  • receive, sort and deliver incoming and outgoing mail throughout the Bank of Canada
  • pick up and deliver scheduled or rush mailings between the Bank and a variety of external service agencies and providers
  • set up conference and dining room furniture for meetings and events
  • carry out the role of Shipping and Receiving when required
  • provide training to colleagues as required
  • receive and verify shipments destined for the Bank of Canada
  • make shipping arrangements for outgoing consignments
  • carry out various record keeping duties
  • receive all shipments and goods, including courier shipments, and enter into SAP to complete the Bank's procurement process
  • prepare requests for delivery of items using a Web Tracking System
  • perform data entry of various spreadsheets to generate reports that are linked to our Facilities Services Dashboard

 

Your education and experience

  • high school education and one to two years of relevant work experience

 

or

 

  • an equivalent combination of education and experience may be considered

 

Assets

  • working knowledge of Microsoft Excel and Microsoft Word
  • good working knowledge of Bank departments and functions
  • good computer skills in the Bank's software applications: Service Now, Resource Central, PASSePORT and SAP module related to receiving goods

 

Your knowledge and skills

  • physical ability to walk extensively throughout the complex; regularly handle heavy goods; push/pull carts; stand, reach and bend; and lift objects (up to 30 kg in weight)
  • ability to perform external deliveries, subject to a wide variety of weather conditions
  • demonstrated ability to work under pressure and to meet short deadlines
  • ability to work overtime on short notice
  • self-motivated with proven ability to work in a team environment, co-operating effectively with others by sharing information or expertise and by actively contributing to team efforts
  • ability to respect and respond to client needs and priorities, recognizing the urgency of their requests and making an effort to expedite matters and provide high-quality service within established service levels
  • ability to take responsibility for seeing things through to completion
  • ability to communicate effectively with others and to consult other resources when information is not clear
  • precision and attention to detail

 

Language requirement
English and French essential (bilingual) with a minimum starting level of functional (level 4) in second official language. Training may be provided to help reach the required level of fully functional (level 5) in second official language.

  • Salaries are based on qualifications and experience and typically range from $41,800 to $46,500 (job grade 9)
  • Depending on performance, you may be eligible for performance pay for successfully meeting (3 to 5% of your base salary) or for exceeding expectations (7% of your base salary). Exceptional performers who far exceed expectations may be eligible for higher performance pay.
