What you will do
As an Executive Administrative Assistant, you will provide comprehensive clerical and administrative support to the Managing Director, Corporate Services, and senior management. You will also manage office operations for the department.
Your key responsibilities include:
- Calendar & Inbox Management: Prioritize and manage the Managing Director's calendar and email.
- Meeting Support: Schedule appointments, draft agendas, take minutes, and prepare meeting materials.
- Task Tracking: Monitor deliverables and deadlines, set reminders, and block time for task completion.
- Travel & Expenses: Coordinate travel arrangements and manage expense claims.
- Meeting & Event Support: Assist with video conferencing, meeting logistics, and catering arrangements.
- Office Efficiency: Suggest improvements, write procedures, reformat documents, and manage supplies.
- Departmental Projects: Contribute to projects and process improvements.
- Data Management: Maintain and update filing and data systems.
- Onboarding: Assist with onboarding new team members.
What you need to succeed
- Being a strong team player who is capable to actively collaborate and contribute to team goals.
- Being organized & adaptive by planning, anticipating needs, and adapting to changing priorities.
- Possessing a detail-oriented mindset to ensure quality and accuracy in all tasks assigned.
- Demonstrating strong skills in Microsoft Office Suite (Outlook, Teams, SharePoint, Excel, Word, PowerPoint).
- Demonstrating a high level of professionalism by following procedures for handling protected and confidential information.
- Possessing strong communication skills to allow for clear and tactful written and verbal communication responses.
- Demonstrating good problem-solving skills to proactively manage competing demands and overcome obstacles.

Your education and experience
This position requires an administration certificate/diploma or high school diploma and a minimum of five years of relevant work experience, including two years providing senior executive administrative support services. An equivalent combination of education and experience may be considered.
What you need to know
- Language requirement: English and French essential (bilingual) with a minimum starting level of functional (level 4) in second official language. Training may be provided to help reach the required level of fully functional (level 5) in second official language.
- Priority will be given to Canadian citizens and permanent residents
- Security level required: Be eligible to obtain Reliability

Hybrid Work Model

- Salaries are based on qualifications and experience and typically range from $64,881 to $76,331 (job grade 13)
- The Bank offers an incentive for successfully meeting expectations at 3 to 5% of your base salary. The Bank offers additional performance pay (2%) for those who exceed expectations. Exceptional performers who far exceed expectations may be eligible for higher performance pay.
