What you will do

As an Executive Administrative Assistant, you will be part of a dynamic workplace. You will provide full clerical and administrative support to departmental staff. You will also be accountable for a wide range of office management and operational support services for the department.

 

You will prioritize and manage inboxes and calendars for senior management, schedule and control their appointments, draft meeting agendas, take minutes, and help to prepare background meeting information, including printing documents and/or assembling electronic documentation. You will assist leaders you support by tracking deliverables and due dates, and either adding reminders in their calendar, bringing items up during your regular touch bases, or blocking time in their calendar to complete the task. You will also coordinate travel arrangements and support managers with the process for expense claims. On occasion, you will support meetings by assisting meeting participants with MS Teams or conference call technologies, and plan with caterers to provide refreshments to the attendees. You will also support the on-boarding and off-boarding process for employees.

 

You will take initiative to enhance the efficiency and effectiveness of the office by proposing improvements, writing procedures, and reformatting and converting documents, and ordering stationery supplies. As an innovative problem solver, you will participate in departmental projects and initiatives and suggest process improvements. You will also be responsible for maintaining and updating the department's filing and data systems.

 

What you need to succeed

We are looking for a strong team player, who actively participates in achieving team goals and who can plan and organize work, anticipate and adapt to different clients’ needs, ask for clarification when required and react quickly to change. You maintain an attention to detail and monitor the quality of your work. You have intermediate computer skills with the Microsoft suite, including Outlook, Visio, Excel, Word and PowerPoint and have a strong knowledge of office procedures and related policies. You are also able to follow the processes and procedures surrounding protected and confidential documents and information. As well, you possess strong written and oral communication skills, can write clear and grammatically correct short documents, and can convey straightforward messages with tact. The ideal candidate is open-minded, adaptable, and takes initiative to proactively overcome any work obstacles that may arise, such as juggling competing demands by prioritizing, re-negotiating deadlines when applicable while ensuring quality.  

 

Nice-to-have

  • working knowledge of Microsoft SharePoint

 

Your education and experience

The position required an administration certificate/diploma or high school diploma and a minimum of two full years of recent work experience providing administrative support services or an equivalent combination of education and experience may be considered

  • Language requirement: English and French essential (bilingual). Candidates must be fully functional (level 5) in second official language upon appointment.

  • Salaries are based on qualifications and experience and typically range from $51,500 to $60,500 (job grade 12)
  • Depending on performance, you may be eligible for performance pay for successfully meeting (3 to 5% of your base salary) or for exceeding expectations (7% of your base salary). Exceptional performers who far exceed expectations may be eligible for higher performance pay.
