Digital Migration and Disposition Lead

Join our K&IS team
Knowledge and Information Services (K&IS) is a business line within the Corporate Services Department, an internal service department within the Bank’s Corporate Administration function. K&IS provides information resources, services, tools, systems and policies which help Bank staff effectively access, utilize, manage, and share quality information to effectively accomplish the Bank’s business goals. K&IS provides research and reference services; management of the Bank of Canada Archives; acquisition, management and, training on the use, of published data and information resources; advice and solutions on managing corporate records; and delivers support and training related to the Bank’s SharePoint document management system (known internally as Collaboration Centrale (CC).

 

We will be undertaking an important project jointly with our Information Technology Services Department (ITS) to support digital transformation across the Bank to reduce inventory of print and electronic content, update processes to eliminate paper records from the outset, and improve the findability of important information.

 

What’s new?
The Bank is significantly reducing the amount of email we store. Currently, there is no limit on the size of mailboxes or on the length of time that emails are kept. Starting in 2019, all Outlook items older than one year will automatically be deleted and will not be archived. This will reduce the amount of emails we have and will improve searching capabilities.

 

About the position
As a subject matter expert, you report to the Manager of IM Operations and Archives in the IM Service Centre and are assigned to the Digital Information Management Evolution project (DIME) to lead the work focused on reducing content stored on network drives and migrating content to CC.  Leading a Migration Specialist and working closely with other project and operations resources, you will provide advice on the clean-up of documents to ensure disposition decisions are aligned with the Bank of Canada’s Information Policy and standards, design and/or refine CC spaces to accommodate new content that would be migrated into the environment, work with our ITS partners to migrate content into CC. You will also support development and implementation of departmental digital IM plans, provide IM advice and guidance, and support information standards and guideline development in support of the DIME project.

 

Your work will be conducted in close collaboration with the DIME project manager and other project resources, K&IS and ITS operational staff, key partners, and the Business Recovery Enhancement (BRE)/SharePoint Transformation project resources.


Your future responsibilities
As a member of the DIME project team, you will lead and deliver client engagements, content migration and disposition planning and execution activities to ensure objectives, milestones and timelines are well understood and mutually agreed to. You will lead troubleshooting and resolution of any issues encountered during migration and continuously review, assess and implement improvements to migration processes and tools. 

 

Working closely with colleagues and stakeholders, you will ensure that clean-up and migration work is aligned with other Bank initiatives to digitally transform client business processes and practices, and regularly update departmental Digital Transformation Plans.  You will also collaborate with and support the DIME project manager on all aspects of planning and reporting, and provide key input / deliver timely reports on migration activities, status, issues and resolutions to senior management.

 

Because of the close link between the DIME project and operations, you will collaborate with K&IS records management specialists to plan and execute physical records disposition, contribute to development and maintenance of information standards and guidelines to support DIME project objectives, and play a key role in transitioning project outputs to operations.

 

Your education and experience

  • master’s degree in information management, library sciences, or records and archives management, or related field

 

and

 

  • a minimum of five years of recent relevant work experience in any combination of information management, information technology services, web services, reference and research services, electronic/data resources, or client needs analysis

 

or

 

  • an equivalent combination of education and experience may be considered

 

Your knowledge and skills
We are looking for an effective communicator who can to influence stakeholders in arriving at optimal outcomes, a team player and a self-starter who shows initiative to advance projects and can work with minimal direction.  You are a change contributor and innovative problem solver with the ability to make sound decisions and judgments, think conceptually and act as liaison amongst different business units throughout the Bank. You have strong analytic skills, can synthesize information and make sound recommendations in support of project delivery, the assessment of risk and alternative approaches to deal with issues or new requirements as they surface.  You can work under pressure, organize tasks, establish priorities and meet deadlines without sacrificing accuracy and standards.

 

You have knowledge of the following:

  • content migration techniques and approaches
  • records management policy, standards and practices
  • SharePoint information architecture, site and library design and configuration, permissions, configuring and provisioning applications / web parts
  • basic project management

 

You have experience in the following:

  • developing, configuring and managing applications in a SharePoint environment
  • providing support to SharePoint, enterprise content management solutions and/or other information management tools and systems
  • delivering advice on how to manage information through all stages of the lifecycle, in particular, description, organization and disposition
  • cleaning up network drives/file shares
  • advanced knowledge of MS Office (Word, Excel, PowerPoint)
  • working in an Agile environment
  • using information technology systems concepts, design, development, testing and deployment
  • project planning and management

 

Assets

  • experience working in an information service unit
  • understanding of information lifecycle management / and records management
  • familiarity with approaches and tools for assessing and migrating network drive content into a content management system
  • familiarity with Bank of Canada Project Management and Delivery approach
  • formal SharePoint training and/or certification
  • general knowledge of the Bank of Canada
  • experience in information policy, standards and guidelines development

 

Language requirement
English and French essential (bilingual) with a minimum starting level of functional (level 4) in second official language. Training may be provided to help reach the required level of fully functional (level 5) in second official language.

  • Salaries are based on qualifications and experience and typically range from $82,300 to $96,000 (job grade 16)
  • Depending on performance, you may be eligible for performance pay for successfully meeting (5 to 7% of your base salary) or for exceeding expectations (10% of your base salary). Exceptional performers who far exceed expectations may be eligible for higher performance pay.
