Administrative Business Coordinator

Did you know?
The Bank of Canada is establishing an alternate site for Bank operations in downtown Calgary. The Calgary Operational Site (COS) and Head Office (in Ottawa) will share responsibility for day-to-day market and banking operations beginning in early 2019. By having these two groups—in separate geographic locations—work together every day, we improve our ability to continue our operations seamlessly. Approximately 65 employees will work out of the COS.


About the position
Reporting to the Deputy Managing Director of the Financial Markets Departments, and working closely with the Director of Market Operations and other leaders at the Calgary Operational Site, the Administrative Business Coordinator’s role will be challenging and fast-paced and is integral in maintaining continuity between the COS and Head Office. You will coordinate and provide support in the following areas: administration, business procedures, facilities, security, and health & safety.


Your future responsibilities
You will coordinate meetings between COS and Head Office, assist with on-boarding and off-boarding of staff, identify short and long-term office space requirements, and manage the mail delivery and courier service and physical security access.  You will also be the primary coordinator and liaison with Head Office on issues related to security and facilities. You will provide oversight of, and act as a back-up to the Executive Administrative Assistant. In addition, you will establish and document administrative best practices and identity opportunities for improvements, provide training to employees on self-service and corporate tools, and provide active and visible leadership, commitment and support towards the Bank’s Health and Safety program. Working with business line Directors in Calgary and Ottawa, you will also help coordinate the maintenance of up-to-date business procedures and training material.


Your education and experience

  • post-secondary education in a related field (e.g. business administration, communications) and three years of recent work experience providing administrative support services


  • an equivalent combination of education and experience may be considered



  • knowledge of or certification in Lean or Agile


Your knowledge and skills
You have advanced knowledge of MS Office (Word, Excel, Power Point and Outlook), and the ability to plan and organize work efficiently and effectively, anticipate needs and react quickly to new circumstances. You have strong attention to detail and can multitask and adjust to changing circumstances and shifting priorities. You are knowledgeable about administrative best practices, and have experience establishing and adapting processes and procedures to support business clients and achieve an efficient delivery of administrative services.  You can work independently and in a team environment where mutual support is essential. You respect the confidentiality of information. You work with confidence to make decisions, anticipate future opportunities, recognize areas for improvement or potential problems, propose solutions and implement them accordingly.


Language requirement
English and French essential (bilingual) with a minimum starting level of functional (level 4) in second official language. Training may be provided to help reach the required level of fully functional (level 5) in second official language.

  • Salaries are based on qualifications and experience and typically range from $58,500 to $68,300 (job grade 13)
  • Depending on performance, you may be eligible for performance pay for successfully meeting (3 to 5% of your base salary) or for exceeding expectations (7% of your base salary). Exceptional performers who far exceed expectations may be eligible for higher performance pay.
