Did you know?
The Bank of Canada is establishing an alternate site for Bank operations in downtown Calgary. The Calgary Operational Site (COS) and Head Office (in Ottawa) will share responsibility for day-to-day market and banking operations beginning in early 2019. By having these two groups—in separate geographic locations—work together every day, we improve our ability to continue our operations seamlessly. Approximately 65 employees will work out of the COS.

 

About the position
You play a vital role at the Calgary Operational Site (COS), providing support and assistance to the Deputy Managing Director of the Financial Markets Department and Director, Market Operations and are responsible for the daily administration of the office. As the first point of contact for employees, stakeholders and visitors, you serve as the welcoming face of our organization.

 

Your future responsibilities
You will prioritize and manage inboxes and calendars for senior management, schedule and control their appointments, draft meeting agendas, take minutes, and help to prepare background meeting information, including printing documents and/or assembling electronic documentation. You will assist leaders you support by tracking deliverables and due dates, and either adding reminders in their calendar, bringing items up during your regular touch bases, or blocking time in their calendar to complete the task. You will also coordinate travel arrangements and support managers with the process for expense claims. On occasion, you will support meetings by assisting meeting participants with Skype or conference call technologies, plan with caterers to provide refreshments to the attendees, and assist with onboarding new team members in the department. In addition, you will take initiative to enhance the efficiency and effectiveness of the office by proposing improvements, writing procedures, and reformatting and converting documents, and ordering stationery supplies. You will participate in departmental projects and initiatives and suggest process improvements. You will also be responsible for maintaining and updating the department's filing and data systems.

 

Your education and experience
• high school diploma and a minimum of two years of recent work experience providing administrative support services
or
• an equivalent combination of education and experience may be considered

 

Assets
• post-secondary education in relevant field (e.g. business administration, communications)
• certification or advanced training in administration

 

Your knowledge and skills
You are a strong team player who actively participates in achieving team goals and who can plan and organize work, anticipate and adapt to different clients’ needs, ask for clarification when required and react quickly to change. You maintain an attention to detail and monitor the quality of your work. You have intermediate computer skills with the Microsoft suite, including Outlook, Visio, Excel, Word and PowerPoint and have a strong knowledge of office procedures and related policies. You are also able to follow the processes and procedures surrounding protected and confidential documents and information. As well, you possess strong written and oral communication skills, can write clear and grammatically correct short documents, and can convey straightforward messages with tact. The ideal candidate is open-minded, adaptable, and takes initiative to proactively overcome any work obstacles that may arise, such as juggling competing demands by prioritizing, re-negotiating deadlines when applicable while ensuring quality.

 

Language requirement
English and French essential (bilingual) with a minimum starting level of functional (level 4) in second official language. Training may be provided to help reach the required level of fully functional (level 5) in second official language.

  • Salaries are based on qualifications and experience and typically range from $52,700 to $61,500 (job grade 12)
  • Depending on performance, you may be eligible for performance pay for successfully meeting (3 to 5% of your base salary) or for exceeding expectations (7% of your base salary). Exceptional performers who far exceed expectations may be eligible for higher performance pay.
